The first private data room Common Ground built for a prospect had its folder structure, its access gate, its page layout and its write-up format all decided from scratch, under deadline. That is a normal way to build the first one of anything, and it is not a sustainable way to keep building rooms if bringing on a new relationship is going to keep meaning a new room.

So the one-off build became a pattern instead: one template, one access standard, and one layout that a new engagement gets dropped into rather than rebuilt for. The test of whether the pattern actually held came in June 2026, when seven private data rooms were built in parallel in a single day using it, work the original one-off approach would have spread across weeks. The pattern has kept scaling since, and the firm now runs more than ten gated data rooms on that one standard, this very room among them.

Problem

Building a private data room from scratch for every new prospect or engagement, deciding the folder structure, the access gate, the page layout and the write-up format anew each time, does not scale past the second or third relationship.

What we did

Turned the first one-off build into a repeatable pattern: one template, one access standard, and one layout, with every room checked two independent ways (a direct probe against the room itself, and a read-back against the source material) before it is called live.

Result

Seven private data rooms built in parallel in a single day in June 2026, using the pattern, versus a build the old approach would have spread across weeks. The firm now runs more than ten gated data rooms on that one standard.
